Administrative Assistant
Role Overview
We are seeking a detail-oriented and proactive Administrative Assistant to provide critical support to our team, including sales operations and leadership. This role will assist with day-to-day administrative tasks as well as tracking, reporting, and analyzing key sales metrics to support data-driven decision-making. The ideal candidate is highly organized, analytical, and comfortable handling both clerical responsibilities and basic data reporting.
Key Responsibilities
- Provide general administrative support including scheduling meetings, managing calendars, handling emails, and preparing internal documentation.
- Assist sales leadership by tracking and updating sales KPIs, pipeline activity, and team performance metrics.
- Generate regular sales reports and dashboards using tools like Excel, CRM systems (e.g., HubSpot)
- Compile, analyze, and summarize sales data to identify trends, gaps, and opportunities.
- Support the sales team with CRM updates, deal tracking, and data hygiene.
- Coordinate team meetings, prepare presentation decks, and distribute meeting notes/action items.
- Manage digital and physical filing systems to ensure records are organized and accessible.
- Handle supply ordering, expense reports, and other office management tasks.
- Assist in onboarding new hires with access, training schedules, and administrative setup.
- Maintain confidentiality and handle sensitive data with discretion.
- Support ad hoc projects and requests from leadership or sales operations as needed.
Requirements
- Proven experience as an administrative assistant or in a similar support role.
- Proficiency in Microsoft Office (especially Excel), Google Workspace, and CRM systems.
- Familiarity with sales performance metrics and ability to analyze and present data clearly.
- Strong organizational and time-management skills with excellent attention to detail.
- Effective communication skills, both written and verbal.
- Comfortable working cross-functionally with sales, marketing, and operations teams.
- High school diploma required, associate’s or bachelor’s degree in business, marketing, or a related field preferred.
Preferred Qualifications
- Experience supporting sales teams or sales operations functions.
- Knowledge of business intelligence tools is a plus.
- Ability to take initiative and suggest process improvements based on data analysis.
